1. DEFINITIONS

For the purposes of these General Terms and Conditions, the following definitions shall apply:

1.1 Conference
“CSCMP EDGE Europe 2027”.

1.2 Organiser
Stichting CSCMP Benelux, registered with the Dutch Chamber of Commerce (KVK: 64095002).

1.3 Participant
Any natural person who has registered for or attends the Conference.

1.4 Speaker
Any individual invited to present, moderate, or participate in a panel session.

1.5 Sponsor
Any legal entity entering into a sponsorship agreement with the Organiser in relation to the Conference.

1.6 Exhibitor
Any legal entity participating in the exhibition programme of the Conference.

1.7 Website
The official Conference website used for registration, information, and administration.
1.8 Force Majeure Event
Any event beyond the reasonable control of the Organiser, including, without limitation, natural disasters, severe weather, epidemics, pandemics, acts of terrorism, war, governmental actions, cyberattacks, transport disruption, venue unavailability, or utility failures.

 

2. SCOPE AND APPLICABILITY

2.1 These General Terms and Conditions shall apply to all legal relationships arising in connection with the Conference, including, but not limited to:

a) registration and participation;
b) ticket purchases;
c) speaker participation;
d) sponsorship participation;
e) exhibitor participation;
f) use of the Website.

2.2 By completing registration or otherwise participating in the Conference, the Participant expressly agrees to be bound by these Terms and Conditions.
2.3 These General Terms and Conditions shall be read together with the Privacy Policy, Cookie Policy, Ticket Sales Terms, and any other policies published on the Conference Website. In the event of a conflict, the specific document governing the relevant subject matter shall prevail.

 

3. ORGANISER DETAILS

4. REGISTRATION AND ADMISSION

4.1 Registration shall only be deemed complete upon:

a) submission of a completed registration form;
b) acceptance of these Terms and Conditions;
c) receipt of full payment.

4.2 The Organiser reserves the right to refuse, suspend, or revoke a registration before or during the Conference where reasonably necessary for legal, operational, safety, security, or conduct-related reasons.

 

 

5. FEES, VAT AND INVOICING

5.1 All fees are stated in Euros (€).

5.2 Fees may be exclusive or inclusive of VAT, as indicated at the time of purchase or invoicing.

5.3 VAT shall be applied in accordance with applicable Dutch tax legislation.

5.4 Invoices shall be issued by Stichting CSCMP Benelux.

5.5 Payment terms shall be fourteen (14) calendar days unless otherwise agreed in writing.

5.6 In the event of late payment, the Organiser shall be entitled to suspend or cancel registration.

 

6. PAYMENT

6.1 Registration shall not be confirmed until full payment has been received.

6.2 Chargebacks, payment reversals, or failed payments may result in cancellation of registration without refund.
6.3 Any bank charges or currency conversion fees shall be borne by the Participant.

 

7. TICKET TRANSFERS

7.1 Participants may transfer their registration subject to the following conditions:

a) written notification to the Organiser;
b) receipt of the request no later than ten (10) business days prior to the Conference;
c) replacement Participant belonging to the same organisation.

7.2 The Organiser reserves the right to refuse transfers submitted after the applicable deadline.
7.3 The original Participant remains responsible until the transfer has been confirmed in writing by the Organiser.

8. CANCELLATION BY PARTICIPANTS AND REFUND POLICY

8.1 Any request to cancel a registration must be submitted in writing to the Organiser.

8.2 Except where required by applicable law or expressly stated otherwise in writing by the Organiser, registration fees are non-refundable. Participants who cancel their registration, for any reason, are not entitled to a refund of registration fees or any other costs incurred in connection with the Conference.

8.3 Participants who are unable to attend the Conference may transfer their registration to another eligible participant in accordance with Article 7 of these Terms and Conditions.

8.4 Failure to attend the Conference ("no-show") shall not entitle the Participant to any refund, credit, or compensation.

 

9. CANCELLATION, POSTPONEMENT OR CHANGE BY THE ORGANISER

9.1 In the event of cancellation by the Organiser (not resulting from Force Majeure), the following shall apply:

a) Cancellation more than four (4) weeks prior to the Conference: Participants shall be entitled to a 100% refund of registration fees paid;

b) Cancellation within four (4) weeks prior to the Conference: Participants shall be entitled to a refund of registration fees paid, less any non-recoverable costs already incurred by the Organiser, including, but not limited to, venue costs, catering, production, staffing, and contracted third-party services;

c) The Organiser shall use reasonable efforts to minimise such costs.

 

9.2 In the event of postponement of the Conference:

a) registrations shall remain valid for the rescheduled Conference; and
b) Participants who are unable to attend the rescheduled Conference may request a refund, subject to deduction of non-recoverable costs already incurred.

9.3 In the event of material changes to the Conference (including, but not limited to, change of date, venue, or format), the Organiser shall offer Participants the option to:

a) accept the modified Conference; or
b) request a refund of registration fees paid, subject to deduction of non-recoverable costs.

9.4 The Organiser shall not be liable for any additional costs incurred by Participants, including, but not limited to:

a) travel expenses;
b) accommodation costs;
c) visa fees;
d) insurance costs;
e) indirect or consequential damages.

10. FORCE MAJEURE

The Organiser shall not be liable for any failure or delay in performance resulting from circumstances beyond its reasonable control, including, but not limited to:

• pandemics or epidemics;

• governmental measures or restrictions;

• war or terrorism;

• natural disasters;

• strikes or labour disputes;

• venue unavailability;

• transport or infrastructure disruption.
  In such circumstances the the Organiser may postpone, cancel, relocate, shorten, modify the programme, replace speakers, convert to hybrid, convert to virtual

11. VISA AND TRAVEL

11.1 Invitation letters may be issued upon request after receipt of full payment.

11.2 Such letters do not constitute a guarantee of visa approval.

11.3 The Organiser shall not be liable for visa refusals.

11.4 The refund policy set out in Article 8 shall remain fully applicable.

11.5  Participants are solely responsible for:

• passports

• visas

• vaccinations (if applicable)

• travel insurance

• accommodation

12. SPEAKERS

12.1 Speakers shall be solely responsible for:

a) accuracy of their content;
b) obtaining all necessary intellectual property rights;
c) ensuring non-infringement of third-party rights.

12.2 Views expressed by Speakers are personal and do not necessarily reflect those of the Organiser.

12.3 Speaker participation, presentation titles, session content, biographies, and schedules are subject to change without notice.
 

13. SPONSORS AND EXHIBITORS

13.1 Sponsors and Exhibitors shall comply with all applicable Conference rules, venue regulations, and instructions issued by the Organiser.

13.2 Where a separate written agreement exists, such agreement shall prevail.

13.3 Sponsorship Refund Policy

a) Cancellation more than six (6) months prior to the Conference: 100% refund;
b) Cancellation between six (6) months and four (4) weeks prior: partial refund may apply;
c) Cancellation within four (4) weeks prior: no refund shall be granted due to committed costs.

13.4 Exhibitors

Exhibitors shall be subject to the same refund structure unless otherwise agreed in writing.

13.5 Full details of sponsorship arrangements are governed by separate written agreements.
 

14. INTELLECTUAL PROPERTY

All Conference materials, branding, and content shall remain the intellectual property of the Organiser or respective rights holders.

Without prior written consent, it is prohibited to:

• reproduce materials;

• distribute content;

• use Conference branding;

• record or exploit sessions commercially;

• screenshots of paid content;

• redistribution;

• AI training;

• automated downloading.

15. PHOTOGRAPHY, RECORDING AND AI USAGE

15.1 The Organiser may photograph, record, or film the Conference.

15.2 Such materials may be used for promotional, educational, and archival purposes.

15.3 Participants may not use recording equipment, livestreaming services, AI transcription tools, or automated note-taking technologies where prohibited by the Organiser or the Speaker.
 

16. DATA PROTECTION AND MARKETING

16.1 Personal data shall be processed in accordance with applicable GDPR legislation.

16.2 Marketing communications shall only be sent where a lawful basis exists.

16.3 Sponsors and Exhibitors shall comply with GDPR when processing personal data.
16.4 Details regarding the processing of personal data are set out in the Conference Privacy Policy.

17. ACCESSIBILITY

The Organiser shall make reasonable efforts to accommodate accessibility requirements, provided such requests are made in advance and are reasonably practicable.

18. HEALTH AND SAFETY

Participants shall comply with all applicable health and safety regulations and venue rules.
Participants shall comply with all reasonable instructions issued by venue staff, emergency services, and the Organiser.

Failure to comply may result in removal from the Conference without refund.

19. CODE OF CONDUCT

The Organiser enforces a strict policy against harassment, discrimination, and disruptive behaviour,  intimidation, violence, hate speech, sexual harassment, unauthorized commercial solicitation.

The Organiser reserves the right to remove any Participant without refund in case of violation.

20. LIABILITY

20.1 Participation shall be at the Participant’s own risk.

20.2 The Organiser shall not be liable for any indirect or consequential damages, including, but not limited to:

• loss of profit;

• loss of data;

• travel or accommodation costs;

• loss or damage to property;

• theft;

• lost luggage;

• personal belongings;

• laptops;

• phones;

• exhibition materials.

20.3 Liability shall be limited to the amount of registration fees paid, insofar as legally permitted.
20.4 Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited under applicable law.

21. WEBSITE AVAILABILITY

The Organiser does not guarantee uninterrupted or error-free availability of the Website and has no liability for third-party links.

22. CONSUMER RIGHTS

Nothing in these Terms shall limit mandatory statutory rights under applicable Dutch or EU law.

​

23. GOVERNING LAW

These Terms shall be governed exclusively by the laws of the Netherlands.

​

24. DISPUTE RESOLUTION

The Parties shall first attempt to resolve disputes amicably.

Failing such resolution, disputes shall be submitted to the competent courts of Rotterdam, unless mandatory law requires otherwise..

25. AMENDMENTS

The Organiser reserves the right to amend these Terms. The version applicable at the time of registration shall remain binding.

26. SEVERABILITY

 

If any provision is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

27. WAIVER

 

Failure by the Organiser to enforce any provision shall not constitute a waiver of that provision.

28. ASSIGNMENT

 

The Organiser may assign or transfer its rights and obligations relating to the Conference to an affiliated entity or successor organiser, provided that such transfer does not materially reduce the Participant's rights.

29. THIRD-PARTY SERVICE PROVIDERS

 

The Organiser may use third-party providers for registration, payment processing, audiovisual services, venue management, and other operational functions. Such providers are responsible for their own services in accordance with applicable law and their contractual obligations.
